Did You Know?

Exporting MMS IDs and Item IDs

When you export a report to a csv file and open it in Excel, MMS IDs and Item IDs will get rounded. To get around this,

  1. Export the data to csv, but do not open the file.
  2. Change the extension on the file to .txt.
  3. Open Excel.
  4. Go to File > Open, and find the .txt file. Excel will automatically start the Import Wizard.
  5. Select Delimited, click Next.
  6. Select Comma as the delimiter. Click Next.
  7. Highlight the column that has the ID in it. In the top left corner of the wizard, select Text as the data format.
  8. Click Finish.

Need to add an Excel file to Analytics?

Another option to using more than one Subject Area in an analysis is to import a file of Alma data using the Analytics Data Visualization tool and then using that data to help create your analysis. You can find the steps on how to do this here:

Filter Limits

If you like using filters, there is a limit to the number of values per filter. It is 9,999.

Bibliographic Details - Local Parameters

In the Bibliographic Details of our Subject Areas, our Local Parameters are currently set to the following:

  • Bibliographic Local Parameters: 
    • local_parameters 1 = 300 
    • local_parameters 2 = 502 
    • local_parameters 3 = 561 
    • local_parameters 4 = 583 
    • local_parameters 5 = 590 
    • local_parameters 6 = 730 
    • local_parameters 7 = 999
    • local_parameters 8 = 947

Holding Details - Local Parameters

In the Holding Details of our Subject Areas, our Local Parameters are currently set to the following:

  • Bibliographic Local Parameters: 
    • local_parameters 1 = 853 
    • local_parameters 2 = 583 
    • local_parameters 3 = 876 

Analytics Lifecycle field - withdrawn/deleted locations, bibs and items

It is important to remember in Analytics that reports will provide active and deleted items, bibs and even locations. When running an analysis it is helpful to add the Lifecycle field (either at the item or bibliographic level) to ensure accurate results. 

Starting in March 2021 the use of Statistical Note 3 in the item record to track RCL, Sibley, and Miner items that are withdrawn as missing, lost, or damaged. The field was left blank if the reason was weeding.
